Terms of use of the archival materials
at the Jozef Pilsudski Institute of America


§ 1


Before using the Institute's collections, the user is required to complete the "User Registration Form" and familiarize themselves with the terms of use document. The form must be filled out legibly in block letters.


§ 2


Finding aids for the Jozef Pilsudski archives are available online (www.pilsudski.org) and at the Institute office. General information about the archival materials and usage rules is provided by a designated Institute employee during office hours.


§ 3


Users are responsible for independently searching for the information necessary to place an order, using the available findings aids.


§ 4


Archival materials are made available based on a user’s order including collection and volume number and the date of use.


§ 5


Ordered archival materials are made available by the Institute’s employees. While working with the archival materials, users must keep them in an undamaged state. It is prohibited to:
• Alter the arrangement of documents,
• Make notes on the originals,
• Place paper underneath documents while writing,
• Use objects or substances that could damage the archival materials.
Bringing items that could damage the archives into the reading room is prohibited. Users must handle materials with care and may take notes using a pencil or a computer. Materials may not be removed from the reading room.


§ 6


Users have the right to:
• Use all available archival finding aids necessary for their work,
• Use the Institute’s library and personal books they bring,
• Use their own laptop.


§ 7


Access to archival materials may be restricted due to their level of organization or poor physical condition.


§ 8


Users may use their personal camera to make digital copies of the archival materials; however, without additional lighting or tripods. The cost of each photograph taken is $0.20 per page. Personal scanners are not allowed. Copying must not violate the rights of individuals whose data appears in the documents.


§ 9


Archival materials used and cited in publications must be properly referenced. Publishing sources such as an individual document or a collection of documents requires separate approval from the Institute’s authorities. The use of archival materials for commercial purposes (such as exhibitions, radio and television broadcasts, reproductions in publications, etc.) is allowed only after signing an appropriate agreement. After publishing any work that uses the Institute's collections, the author is required to submit one copy to the Institute’s library.

Failure to comply with these regulations may result in the denial of access to archival materials.

The Institute has extensive archival resources available to everyone. An increasing number of these resources are accessible online in digital form. The Institute is funded through membership fees and donations.

The pricing includes fees for on-site researcher work at the Institute and charges for custom services (postal, email, telephone, etc.).
The Institute does not charge for preparing materials for on-site research. After filling out the order form, users may access the collections on-site under the terms specified in the regulations.

Special orders outside of the listed pricing are negotiated individually.

U.S. copyright law (Title 17, United States Code) governs the reproduction of copyrighted materials.
Libraries and archives may provide photocopies or other reproductions only under specific conditions outlined in the law. One of these conditions is that copies must be used solely for "private study, scholarship, or research." If a user requests copies and later uses them beyond "fair use" provisions, they may be liable for copyright infringement.
The Institute reserves the right to refuse copy requests if, in its opinion, fulfilling the request would violate copyright laws.
